Preventing And Minimizing The Effect Of Data Loss

When we talk about preventing data loss we are typically referring to the act of minimizing the effects of data loss rather than fully preventing it. This is because regardless of how well we maintain our hard drive, how stringent we are with online security, and how regularly we back up information the possibility of data loss is always lurking around the next virtual corner. With a myriad of data loss causes it is hardly surprising that it is such an issue for many computer users. There really is nothing worse than losing a file that it has taken hours or days to create, except losing all of your files with potentially highly valuable information.

Minimizing the risk of data loss can, however, be done in the following ways:

Saving To Your Secondary Hard Drive

Folder and file structure is vital, but so to is where you save your data. Hard drives are typically the most robust and reliable of data storage devices. Where possible use two hard drives on your computer and save your important files to the hard drive that does not contain software and operating system data. These are the areas that are most prone to errors and, as such, the hard drive that contains them is the one that is most likely to require reformatting at some point in the future.

Data Backups

Backups are an absolute must but an area that many of us do not conduct properly, either through naivety or through laziness. Backups should, in most cases, be made daily. For personal files that can be replaced it may not be necessary to create backups as often and they can typically be created on CD or DVD disk. However, disks are not a suitable option for all applications. They can become scratched and damaged beyond repair making them an option that is more prone to damage than your original copy. Flash drives and external hard drives are more robust and can usually hold more data that can be overwritten more often without damaging the device.

While on the subject of backups it is important to consider planning for every eventuality. None of us want to endure a fire in our homes or offices but fires and natural disasters do occur. If you keep all of your backup data in the same location as your main data then you stand to lose the lot in these cases. Consider remote backup facilities or, at the very least, a fire retardant storage device for your home.

Opening Documents And Attachments

Always be wary of the documents you open and the files you download. Even emails from trusted sources may contain parasites that are designed to do nothing more than destroy your files. It may not be the fault of the sender, either, so care should always be taken when opening attachments. Another point to consider is where your email client opts to save attachments as default. If your client saves them to an area where you already have a file of the same name it is likely that the email client will overwrite the existing file potentially spelling data loss disaster.

Prepare For The Worst By Investing In Data Recovery Software

Preparation is the key to survival. Even following the above tips you may still find that you lose important data that you cannot do without. Invest in some affordable but effective data recovery software before you need it and if you do lose or remove a file do not attempt to save anything else to that hard drive until you have either restored the file or exhausted all possibilities of doing so. The Windows operating system does not delete files until it needs to overwrite them with another file so saving files increases the risk of removing a file forever.

Preventing The Negative Effects Of Data Loss Before It Occurs

In the long run you should always presume that you will lose data at some point. This way you will do your utmost to ensure that you are protected against the potential dangers of data loss from the very beginning. Blindly believing that data loss is something that happens to other people will inevitably mean that you will lose a lot of invaluable information from your computer in the event that it does occur.
